Online Application FAQs

Q. I completed and submitted an online application for a position. Then, when I tried to upload my application for another position, the file didn't exist. What went wrong??
A. You probably did not actually SAVE the file to a disk or a drive before you submitted it to a specific agency. Complete the application again, but be sure to SAVE it to a disk or a drive by following the instructions below.

Q. It’s not clear how to save my file. How can I save it??
A. As long as no agency is selected and the requisition field is blank, no form will be submitted to an agency. You can still fill out all the information you like and press the submit button. You will then be sent to a page that has a text file (.txt) and a PDF file (.pdf). Both files should be saved to your computer hard drive or a floppy disk. Use the text file (.txt) when applying for other on-line positions and the PDF file (.pdf) for viewing or to submit a printed paper application. DO NOT change the computer generated name of the .txt file when saving it. Save it with the computer generated name. It will read something like “DPS******.txt”. Be sure to note WHERE you have saved your file (which computer drive, disk, etc.). The next time you want to work on your application, you can go through the file upload process and find the file you saved. This will bring in the information you had previously saved.

Q. I have previously saved my text file. When I upload my file and the data populates in the form, why are the “number of hours” and “employed to” dates reversed??
A. Correct those fields and re-submit the form. Save the text file (.txt) that is created for future use and those changes will be recognized the next time you upload the file.

Q. The State Agency I am interested in is not listed as a choice to submit the online application to. Why can’t I find them in the drop down menu??
A. The agency of interest is not participating in the On-line Employment Application process. You will need to send the agency a paper version of the Employment Summary. Contact the Agency recruiter for details.

Q. Why are there two file types available when I don’t select an agency and include a requisition number??
If no agency is selected, there will be no application submitted. This allows you, the applicant, to save a text file (.txt) and/or a PDF file (.pdf). It is a good idea to save both file types so you can submit the text file and print or view the acrobat (pdf) file.

Q. Why do I get errors when I paste my job duties in the form after I submit??
A. Because your data has to fit in a fixed text area on the submitted application; only 13 rows of data are allowed. The font is small enough to allow for an adequate description. Be sure to state your duties in a concise manner and allow the text to just “wrap around” (do not hit return).
