1000-5 RECORDING A TELEPHONE CONTACT, DEMAND LETTER, OFFICE INTERVIEW OR DUN LETTER (CONTRACTORS)
KAECSES allows the user to record contacts with the obligor regarding his/her obligation to pay. Telephone contacts should only be recorded on IADA if the user specifically requests that the obligor comply with the obligation. These procedures assume that the user is contacting the Obligor or requesting the obligor (in a phone call made to the agency by the obligor) comply with all of the obligation(s) on the court order. If this is not the case, the user will go to the OPAY screen from IADA to select the appropriate obligation(s). Every contact should be recorded as an add. This business practice assumes that the user knows the court case number or numbers that were discussed in the contact and the person or SSN of the obligor.
A contact about a non-court case number debt (Ex: recovery) may also be recorded. All records added to IADA will appear on the following list screens: OBLO; OBLG and AACC. When a question about enforcement activity is raised, these screens will provide the user with information indicating what diligent efforts are being made to collect a debt.

NOTE ON DEMAND LETTERS: The DLTR and DUN letters are not downloadable. Use the demand letter developed by your office. If your local demand letter does not have a court case number including the state and county and a person number indicated on the letter, these should be added to your letters for ease of entry of responses. If a DLTR letter is sent, a manual alert to monitor for a response must be set. See Business Practice 800-2 Adding Manual Alerts.
